Since 2016, our team of 10 in Bristol has answered questions from roughly 1,200 small business owners. This page collects the ones that come up most: what the app does, how your records are handled, what setup involves and what to expect once you are using it. If your question is not here, we normally reply within 2 hours on working days.
It is designed for owner-run businesses with a small team: a café with six staff, a plumber working alone with a van, a market stall holder, a freelance designer, a small retail shop. If you currently keep your money records in a notebook, a spreadsheet or a shoebox of receipts, you are the person we had in mind. It is not aimed at companies with a dedicated finance department, and we would rather tell you that now than have you find out after a month.
No. You record money coming in and money going out, and you pick a category for each entry. The app handles the rest of the structure behind the scenes. Terms such as "accruals" or "double entry" do not appear in everyday screens. That said, if you already work with an accountant, you can share your records with them in a form they will recognise, so nothing is lost between your phone and their desk.
Most owners have a working account within an afternoon. You add your business details, choose the categories that match how you trade, and enter an opening balance. Bringing in older figures takes longer, and that depends on how tidy your existing records are. If you would like help with this stage, we can walk you through it by phone or video during our opening hours, Monday to Friday, 09:30 to 17:00.
The app works on current versions of both major mobile operating systems, and on tablets as well as phones. Because we update the supported versions as manufacturers retire old ones, a handset more than several years old may stop receiving new releases. If you are unsure about a particular device, send us the model name through the contact page and we will tell you plainly whether it is supported.
Open the app, tap the add button, enter the amount, choose a category and save. For an expense you can photograph the receipt and attach it to the entry in the same step, so the paper copy can go in the bin. Entries made without a signal are stored on the device and sent to your account when the connection returns. A typical entry takes under half a minute once you are used to it.
Yes. You can create an invoice from saved customer details, add your line items, set a due date and send it by email or share it as a PDF. Each invoice carries a status of draft, sent, part-paid or paid, so you can see at a glance who still owes you money. You can set a reminder for overdue invoices, though the app only prompts you; it does not contact your customers without your say-so.
You can import transactions from your bank so you do not have to retype them. The connection is read-only: the app can see your transaction list but cannot move money or change anything at the bank. You choose which account to link and can remove the link at any time. If you prefer not to connect a bank at all, you can upload a statement file or enter everything by hand instead.
Yes. You can invite a business partner, a manager or your bookkeeper, and give each of them a role. A staff member might only be allowed to add expenses, while your accountant can view and export everything but not delete anything. A change history shows who entered or edited each record and when, which is useful when two people are working from the same set of figures.
The main views are a profit and loss summary, a cash-flow overview by week or month, a list of unpaid invoices, and spending totals by category. You can change the date range to compare, say, this quarter with the same period last year. Reports can be exported as PDF or spreadsheet files. They show what you have recorded, so their usefulness depends on how regularly the entries are kept up to date.
If you are VAT-registered, you can mark each entry with the correct rate (standard 20%, reduced 5%, or zero-rated), and the app totals the VAT you have charged and the VAT you have paid for the period. This gives you a working figure to check against your return. It is a record-keeping aid, not tax advice, so we recommend confirming the final numbers with your accountant before you submit anything.
It helps by keeping your income and allowable expenses sorted, with receipts attached, so the figures your accountant needs are already in one place. It does not file returns for you and does not give you a tax bill. Sole traders and company directors have different obligations, and the correct treatment of a given expense can depend on your circumstances, which is why a qualified adviser should make the final call.
Your records stay in your account for as long as the account is open. Businesses in the UK are generally expected to hold financial records for at least six years, so we recommend exporting a full copy at the end of each financial year and storing it somewhere you control. If you close your account, you can download everything first and request deletion of the data we hold.
Data is encrypted while it travels between your device and our servers, and it is stored in encrypted form. You can add a PIN or biometric unlock on the phone, and sign-in from a new device requires a confirmation step. We handle personal data in line with UK data protection law; the details of what we collect and why are set out in our privacy policy, and you can ask us for a copy of your data at any time.
Your records live in your account, not only on the handset, so losing the device does not mean losing the data. Sign in on a new phone and everything synchronises. We advise changing your password straight away and signing out the lost device from the account settings, which cuts off its access. Any entries that were made offline and not yet synchronised at the moment of loss would not be recoverable.
Pricing depends on the number of users and which features you need, and it is quoted in pounds sterling per month with no long lock-in period. Rather than print figures here that may date, we give you an exact quote when you get in touch, along with a list of what is and is not included. Nothing is charged until you have agreed the plan with us in writing, and there are no hidden set-up fees.
Yes, in most cases. If your records are in a spreadsheet or a CSV file exported from another tool, we can help map the columns to the app's fields. Handwritten ledgers need to be typed in, so for those we usually suggest bringing across only the current financial year plus any open invoices. Of the 1,832 jobs we have completed, a large share involved this kind of migration, so it is a routine task for us.
Email [email protected] or call +44 117 454 6714 between 09:30 and 17:00, Monday to Friday. We are closed at weekends. Our usual reply time is 2 hours during those hours. If you prefer to see us in person, our office is at 146 Stokes Croft, Bristol, BS9 8DR. Please bring a description of the problem, and a screenshot if you have one, as this speeds things up considerably.
